About the role
This is an organisation-wide operational role responsible for bringing structure, clarity, and accountability to Women Doing Well's full portfolio of cross-departmental work. Reporting to the Senior Director of Operations, the Project Manager will own the systems, timelines, and coordination processes that keep programmes, events, content production, local market activity, and donor engagement moving in alignment. The ideal candidate is a self-starter who thrives in a collaborative, mission-first culture and can hold multiple priorities without losing sight of details.
Your responsibilities
- Build scalable operations infrastructure to support 1,000-5,000 women in The Pathway
- Design and implement systems for program delivery, enrollment, and participant experience
- Oversee technology stack (CRM, project management, program delivery platforms)
- Streamline workflows and eliminate operational friction across all departments
- Ensure HR compliance, hiring processes, and team onboarding
- Serve as the coordination hub across all departments, including programming, communications, donor engagement, and operations, ensuring clean handoffs and shared accountability
- Partner with department leads to scope projects, establish timelines, and align resources at project kickoff
- Coordinate across team members and external partners to keep projects on track, following up on open items and ensuring work moves without leadership having to chase down items
- Support leadership in capacity planning and managing competing priorities across the organization
- Assist with operational planning and on-site execution for WDW’s signature events, including the Patron Gathering, local engagement events, and partner events
- Manage event logistics including venue coordination, vendor communication, catering, materials, run-of-show documents, and day-of execution
- Collaborate across the team on major events, working alongside the Pathway Director, Communications Manager, and Senior Director of Operations to ensure all logistics are aligned and nothing falls through the cracks
- Build and maintain event timelines and planning trackers within organizational platforms, ensuring all details are accounted for well in advance
- Communicate with vendors, venues, and partners with professionalism and follow-through, escalating decisions that require leadership input
- Support the Pathway Director in logistics for local market activity, including facilitator meetings, community engagement gatherings, and market-specific events
- Track local market activity and maintain organized records that give the Pathway team clear visibility into what has happened and what is coming next
- Support post-event wrap-up including vendor closeout, feedback collection, and documentation for future planning
- Support the production of Pathway curriculum, participant materials, and facilitator resources by managing production timelines, version control, and file organization
- Coordinate with designers, printers, and vendors on content production timelines and deliverables, tracking progress and flagging issues proactively
- Bring attention to design quality across all materials noting when something does not meet the standard before it is finalized or goes to print
- Support the annual content review process by organizing materials, tracking feedback, and managing the workflow through revisions and final approval
Key requirements
- One to three years of project management experience, in a nonprofit or mission-driven environment a plus
- Demonstrated ability to manage multiple concurrent projects across teams in a fast-paced, dynamic setting
- Strong organizational skills, meticulous attention to detail, and consistent follow-through
- Excellent written and verbal communication skills
- Professional demeanor and comfort working with high-level donors and leadership
- Proficiency with project management platforms; experience with Monday.com is a strong plus
- A collaborative, solutions-oriented mindset with a genuine commitment to WDW’s mission
- Ability to work independently and take ownership of assigned responsibilities
- Hands-on experience with Monday.com, including board setup, automation, and reporting
- Background in nonprofit operations, event management, or donor engagement contexts
- Experience owning event logistics end-to-end — venue, vendors, run-of-show, and day-of execution
- Familiarity with content production workflows, including coordinating with designers, printers, and external vendors
- Experience managing relationships with external vendors, venues, or contractors
- Comfort working in a remote-first, relationship-driven organizational culture
- Four-year degree in marketing, communications, or business
