Women’s Fund Asia (WFA) is a regional feminist fund that resources movements led by women, girls, trans, and intersex people across 22 countries. In an increasingly digital and often hostile operating environment, WFA requires a Digital Systems Administrator to ensure the organization's digital infrastructure is secure, resilient, and inclusive.

About the role

The purpose of this role is to manage WFA’s entire digital landscape—including cloud-based management systems, internal communication tools, and data management platforms—while prioritizing digital security and ensuring that IT processes align with WFA’s internal guidelines and global best practices.

Your responsibilities

The Digital Systems Administrator will be responsible for the following key areas:
A. System Administration & Optimization
  • Infrastructure Management: Oversee and maintain WFA’s cloud infrastructure (e.g.,Google Workspace, Microsoft 365, or AWS) and server environments.
  • Platform Oversight: Administer core organizational systems, including the Grants Management System (GMS), Management Information Systems (MIS), and Salesforce (if applicable), OneAPP ensuring seamless integration between finance, programs, and communications and overall organisation.
  • Asset Management: Maintain a digital registry of hardware and software licenses across regional offices and remote staff, ensuring timely renewals and compliance with WFA’s IT procurement guidelines.
B. Holistic Digital Security & Risk Management
  • Security Protocols: Implement and monitor end-to-end security measures, including Multi-Factor Authentication (MFA), end-point encryption, and secure VPNs.
  • Data Privacy: Act as the custodian of WFA’s data, ensuring compliance with international data protection standards (like GDPR) and internal safeguarding policies, particularly regarding sensitive grantee information.
  • Incident Response: Develop and lead the organization’s digital emergency response plan to mitigate risks such as phishing, hacking, or surveillance.
C. Strategic IT Planning & Support
  • Digital Transformation: Work with the Senior Management Team (SMT) to identify and implement emerging technologies that can improve WFA’s participatory grant-making and remote collaboration.
  • Budgeting: Assist in planning the annual IT budget, ensuring cost-effective and sustainable technology choices.
  • Technical Support: Provide high-level troubleshooting and technical accompaniment to a diverse, remote-based regional team.
D. Capacity Building & Training
  • Tech Literacy: Conduct regular "Digital Hygiene" and security training sessions for staff/team members and, where relevant, grantee partners. Conduct sessions inhouse regularly.
  • User Guides: Maintain and update WFA’s IT Manual and standard operating procedures (SOPs) to ensure they are accessible and up-to-date.
  • Any other work assigned.

Key requirements

Required Qualifications & Competencies
  • Technical Expertise: Minimum 3-5 years of experience in systems administration, network security, or IT management, preferably within a regional or international NGO.
  • Language: Fluency in English is required; knowledge of a regional Asian language is a significant advantage.
  • Adaptability: Proven experience managing digital tools for remote-first, decentralized teams across multiple time zones and varying levels of internet connectivity.
  • Communication: Ability to explain complex technical concepts to non-technical staff with patience and clarity.
Selection Criteria
  • Experience with Cloud-based ERP/CRM systems (Salesforce, NetSuite, etc.).
  • Strong knowledge of cybersecurity tools (Password managers, encrypted communications like Signal/Tuta, etc.).
  • Alignment with WFA’s values of social justice and transparency.
  • Preference will be given to those who have regional understanding and work experience in the region.

Additional information

  1. Bi-Annual Digital Health Audit: A comprehensive review of all systems, vulnerabilities, and recommended upgrades.
  2. Organization-wide Security Training: At least two dedicated digital security workshops per year.
  3. MIS/GMS Optimization Report: Recommendations for improving data flow between units.
  4. Updated IT Policy Suite: Regular updates to the IT Guidelines and Processes site to reflect current technological and security landscapes.


Terms and Conditions
  • Once selected, a renewable contract syncing with WFA’s fiscal year (April - March) will be issued. Ability to join immediately is required.
  • The remuneration for the position is USD 1600-2000 per month. In case the individual is based out of home, then an office running stipend will be provided. The remuneration will be commensurate with work experience and skills. The taxes will apply as per laws of the land where WFA has its registered offices.
  • There will be a six-month probation period, during which the contract can be concluded through a notice of 7 working days on either side. The incumbent will be internally evaluated before being confirmed. After confirmation, the contract can be concluded by a notice of 22 working days or salary of 22 working days in lieu of notice.
  • Once confirmed, there will be an annual performance evaluation every March, a month before a new contract is issued in April. The entitlement to leaves and medical benefits will also apply as per the HR Manual.
  • There is no obligation on the part of WFA to offer a new contract upon the conclusion of the present contract as WFA’s human resource requirement is contingent on access to, availability, adequacy, the purpose of and timing of donor funds.
  • The organization has a zero tolerance to sexual harassment at the workplace; as well as any form of discrimination on any grounds including but not limited to sex, gender, sexual orientation, class, caste, race, and/or disability; the practice of which could result in immediate termination with no compensation, reference, or experience certificates.
